Moving into Residence Hall

04.Residence Hall Application
  • Apply for residence hall through the Website during January each year. (In case of students returning from un-enrolled status, students who have not submitted intention to return are also eligible to apply.)
05.Selection Standard
  • Students qualified for preferential selection (preferentially admitted student already living in residence hall, child of persons of national merit, child of persons receiving public welfare assistance)
  • Students having an excellent academic record (in case of newly admitted and transfer students, converted admission score shall be considered)
  • Students with long commute
06.Notice of Acceptance and Registration
  • Notice of Acceptance can be confirmed only through the residence hall Website, with no separate notice via mail.
  • Accepted students are required to pay residence hall charges through the assigned personal virtual account by the specified date.
  • Occupancy is automatically revoked in case of failure to pay the charges by the specified date.
07.Report of Move-in and Preparation
  • Accepted students are required to move in during the specified period only (Saturday, Sunday and Monday of the week before the start of class).
  • Report of move-in shall be done by the resident at a designated location (lobby of each residence hall building).
  • Required for move-in copy of ID Picture, 1 copy of medical examination certificate
  • Furnished and supplied articles in the residence hall room
    • Furnished articles at each room: furniture such as bed, desk, chair, bookcase, and wardrobe
    • Articles to be supplied at move-in: slippers, bed sheet, key card for the building entrance, wardrobe key (available only for 4-person room)
    • (These articles have to be returned at move-out.)
    • Articles to be prepared personally: bedding, toiletries, lamp stand, textbooks, and other personal articles such as clothes
  • Articles that are forbidden to be brought in - All electric heating appliances, cooking appliances (gas stove, electric cooker), and all other electronics that are not permitted (Exceptions: computer, lamp stand, hair dryer, mini cassette player, and cell phone charger are permitted.)
    • Keeping a pet or bringing one into the building is prohibited with no exception.

Moving Out of Residence Hall

  • Residents shall move out during the period for finals at the end of every semester.
  • Before leaving the residence hall room, each resident shall clean and straighten up the room, remove all attachments, and move personal articles out of the room.
  • Desk drawers and wardrobe shall not be locked with the key.
  • The supplied articles (slippers, bed sheet, key card for the building entrance, wardrobe key (for 4-person room only) shall be returned to the designated location. (In case of loss, cost for the lost supplied article shall be paid.)
  • If it is confirmed after move-out that a resident left the room in a poor condition without cleaning up and straighten up properly, or with articles destroyed and/or lost, restrictions may be placed on the student’s application for move-in the following semester.

Unscheduled Move-in/Move-out during the Semester

01. Move-in
  • Enrolled student can apply for move-in during the semester if he/she wants.
    Move-in Procedure
    Fill out the application for university residence hall on the Website.
    Accepted students are contacted individually while on standby. Report move-in at the office with 1 copy of ID Picture, 1 copy of medical examination certificate
    (Move-in during the semester is available only when there is a vacancy in the residence hall.)
02. Move-out
  • Residence hall resident who wishes to vacate the residence hall room for personal reasons, has excessive penalty points, or is ordered to move out may move out of the residence hall.
    Move-out Procedure
    Fill out the move-out report.
    After the superintendent’s confirmation, the student shall move his/her personal articles out of the residence hall room. The supplied articles (slippers, bed sheet, key card for the building entrance, wardrobe key (for 4-person room only) shall be returned to the office together with the move-out report. (If the supplied articles are not returned, the cost of lost articles are deducted from the move-out return of payment.)
    The move-out refund of charges is computed based on the number of weeks, and paid within 7 days of the vacancy filled based on the finalized move-out date.

Life at the Residence Hall

Article 1 Objective
  • The objective of these regulations is efficient lifestyle education and maintenance of order at Hoseo University.
Article 2 Schedule
  • Entrance Gate Opening: From 06:00
  • Meal Time: Breakfast (08:00~09:30), Dinner (17:00~19:00)
  • Entrance Gate Closing: Weekdays - 20:50, Holidays and the day before holiday - 23:00 (no learning time)
  • Learning Time: 21:00~23:30 (2 hours and 30 minutes)
  • Report of leave 23:30~24:00 (30 minutes)
  • Lights-out: 24:30 (Those studying longer shall use a lamp stand or library.)
  • Sleeping Hours: 24:30~06:00
  • Office Hours: 09:00~ 19:00 (Lunch 12:00~13:00)
Article 3 Resident ID
  • All residence hall residents shall carry resident ID with them always and show it to the staff on demand.
  • Loss: In case of loss of resident ID, it shall be reissued without exception and returned at the time of move-out.
  • Reissuance: At the time of resident ID reissuance, a small charge for reissuance and 5 penalty points are imposed, and reissuance is limited to twice per semester.
  • Temporary Resident ID: In case of loss of resident ID, a temporary resident ID may be used until the reissuance, and reissuance of temporary resident ID is limited to twice per semester (3 penalty points per reissuance).
  • Resident ID shall be worn when accessing the cafeteria and entering the residence hall, and access maybe denied for those who are not wearing resident ID.
  • When the act of loaning, copying and making resident ID is exposed, the relevant student is ordered to move out of residence hall.
Article 4 Room Assignment
  • Room assignment is decided by the residence hall director. Once rooms are assigned, residents are not allowed to arbitrarily change rooms.
Article 5 Control of an Outsider’s Access
  • It is forbidden to put up an outsider at the residence hall premises, and the relevant dorm student shall be ordered to move out of the residence hall pursuant to the reward and penalty point regulations.
Article 6 Chapel
  • Chapel is conducted from 06:50 until 07:50 every Tuesday once a week. (Asan Campus - Education & Culture Center, Cheonan Campus - Hoseo University Church)
  • All residence hall residents are required to attend chapel; in case of unavoidable circumstances, the resident shall get permission from the superintendent in advance.
  • Pursuant to the reward and penalty point regulations, 10 penalty points for absence at chapel and 2 penalty points for tardiness are imposed. (Arriving between 06:50 and 07:00 is handled as tardiness, and arrivals after 07:00 are denied entrance.)
Article 7 Use of Cafeteria
  • Meals are served twice a day (obligatory meals) from Monday morning to Friday morning. (Nevertheless, no meals are served on legal holidays, temporary holidays, and on the day of school foundation anniversary.)
  • Resident ID shall be presented when accessing cafeteria, and leftover food shall not be left.
  • Residents shall present themselves in well-mannered attire when accessing cafeteria. (Slippers are forbidden.)
  • The use of cafeteria is available only for the residents of the residence hall, and the student who attend meals accompanied by an outsider is ordered to move out of residence hall.
Article 8 Visit
  • When an outside student intends to visit a resident, permission from the residence hall manager is required in advance, and a managerial staff member can ask an outside student to present his/her identification.
Article 9 Leave and Overnight Leave
  • In principle, leave and overnight leave are prohibited during the weekdays; in case of inevitable circumstances, permission from the superintendent is required in advance. ※ Permissible Range of Leave & Overnight Leave
    • Purpose of Learning - Submission of confirmation from the professor in charge
    • Matters related to the military entrance - Submission of a copy of the notice of physical examination for conscription
    • Sick Leave - Submission of medical report
    • Permissible reasons per the residence hall director’s judgment
  • Overnight leave without due notice means the case of staying out overnight without the superintendent’s permission.
  • A request for permission of leave and overnight leave shall be made directly to the superintendent at the designated time; if there is no request for permission, it is handled as leave or overnight leave without due notice. (The time for request for permission of leave or overnight leave - 11:30~12:00 of the previous night)
  • In case where leave or overnight leave in group becomes necessary due to educational cause or university events, a cooperation memorandum from the related institute shall be acquired and submitted to the superintendent in charge a week before the day of, and approved by the residence hall steering committee . (Nevertheless, if the content of the cooperation memorandum is not true to the fact, it is handled as no leave.)
Article 10 Receipt of Postal Matter and Parcel Delivery
  • Postal matter shall be received at the postal receipt counter of break room at each residence hall building.
  • In principle, parcel delivery and registered mail shall be directly received by the addressee; nevertheless, in case the office receives the postal matter on behalf of the addressee, the addressee can receive the parcel delivery and registered mail by presenting his/her resident ID. (Responsibility for the loss due to proxy receipt lies with the addressee.)

Article 11 Facility Management and Failure Report
  • At the time of move-in, the resident shall check the supplied articles and facilities and sign the move-in confirmation.
  • Failure or damage of facility shall be reported to the superintendent in charge and the managing office without delay. If a resident damages facility, the resident shall restore them to their original state, or pay for damage based on the price list.
  • Before move-out, the move-out confirmation shall be signed with regards to the confirmation of the supplied articles and facilities before move-out.
Article 12 Laundry and Shower
  • Doing laundry during the learning time and the sleeping hours (after 24:30) is prohibited, and taking a shower during the learning time is also prohibited.
Article 13 Reward and Reward Point
  • Resident who achieves academic record exceptionally improved from the previous semester shall be awarded with a reward at the beginning of every semester.
  • The residence hall director can award a resident who set an example for others for being honest, upright and faithful by the recommendation of the superintendent and the residence hall student organization.
Article 14 Reward and Penalty Point System

The purpose of the reward and penalty point system is to maintain the order of the residence hall and make community life smooth.

  • If the residence hall regulations are violated, the superintendent can impose penalty point according to the penalty point table.
  • Penalty point can be imposed when the residence hall regulations are violated or damage is inflicted on the community life.
  • The reward and penalty points are aggregated and announced every month, and the reward and penalty points for each semester are listed in the individual records, which can be used in determining the acceptance of the next move-in application.
  • In case the penalty points amount to 20 during one semester, the guidance professor shall be notified and provide instruction.
  • Resident with more than 30 penalty points may be ordered move out of the residence hall, and the resident’s guardian shall be notified.
  • The penalty points are aggregated by semester, and the penalty points can be offset by reward points up to 10 points. (Nevertheless, the chapel penalty points may not be offset.)
Article 15 Acceptance
  • Residence hall application screening process is conducted at the beginning of every academic year. The occupancy duration is set as one year. Selection of residents shall be based on the selection standard conversion table.
  • In case of newly admitted students, selection preference shall be granted to those whose grades are excellent among the admitted applicants from non-scheduled admissions and regular admissions.
  • Persons of national merit or the child, the recipients of public welfare assistance or the child, the physically impaired, and students with long commute (newly admitted students only) shall submit the relevant documentation and screened by a separate reviewing process.
  • When a student who has been ordered to move out due to penalty points applies, his/her acceptance shall be determined after review by the residence hall steering committee.
  • Those who are judged to be unfit for community life may be denied occupancy by the steering committee. (e.g. student with an officially designated communicable disease, highly contagious disease, depression, mental disorders, etc.)
  • Residence hall charges for an additional resident are calculated according to the computation table for university residence hall expenses.
  • Resident who is recommended by the residence hall director and the superintendent can live in the residence hall through the residence hall steering committee.
Article 16 Move-out
  • Move-out: Those with penalty points more 30 shall vacate the room within 3 days.
  • Move-out Report: In case of voluntary evacuation during the semester shall be complete when the move-out report and the supplied articles are returned to the office within 3 days of acquiring approval from the superintendent.
  • Damages: At the time of submit of the move-out report, the refund is processed as an account transfer, and damaged articles may be paid for after confirmation or the amount may be deducted from the refund of charges.
  • Payment Amount of Refund of Charges: The refund of charges shall be paid according to the computation table for university residence hall expenses.
  • Date of Payment of Refund of Charges: The refund of charges shall be paid within 7 days of the vacancy filled based on the finalized move-out date.
Article 17 Residence Hall Charges
  • Residence hall charge items are occupancy charges, administrative cost, food expenses, key storage fee, student council expenses, and shall be paid to the announced financial institution by the specified date.
  • Residence hall charges shall be paid by the year.
  • Residence hall charges for the additional resident entering during the semester and for those who vacate are calculated based on the computation table for residence hall charges.
  • Key storage fees are not refunded until the supplied keys are returned without damage on the specified date (move-out date).

Article 18 Residence Hall Closure
  • Residence halls are in principle closed during vacation and Chuseok holidays.
  • Residence halls may be closed for the period which is acknowledged as necessary by the residence hall steering committee.
Article 19 Sleeping Hours

Sleeping hours are implemented in order to create the nighttime order and quiet atmosphere of the school dorm.

  • Sleeping Hours: From 24:30 until 06:00
  • All lights of rooms, hallway, and restrooms shall be turned off during sleeping hours.
  • Acts that interrupt others’ sleep after 24:00, such as TV or VIDEO watching, computer games, etc. are prohibited.
  • All lights shall be out at 24:30. (Lamp stands are an exception.)
Article 20 Regulations for Residents in an Unsupervised Residence Hall Building
  • Learning Time: 21:00~23:30 (two and a half hours) (Operation is same as general residence hall buildings: entering dorm rooms by 20:50)
  • Regular Leave and Overnight Leave: Report for leave and overnight leave shall be prepared within 2 weeks of the start of class, confirmed by the guidance professor, and submitted to the superintendent.
  • One-day Leave and Overnight Leave - Third or fourth year student: Report kept at the residence hall building office shall be filled out by 8:00 in the evening of the day of leave. (If resident fails to specify whether it is a leave or overnight leave in the report, or if what is entered is not true to the fact, it is regarded as overnight leave without due notice.) Newly admitted student: Report of leave or overnight leave shall be made to the superintendent in charge.
  • Roll call of all residence hall residents take place every Monday, and no overnight leave request and access during the learning time are granted.
  • Gate-opening and Gate-closing – From Tuesday to Thursday, the gate opens at 06:00 every morning and closes at 24:00. (Nevertheless, access to the gate during the early morning hours is available only for residents approved by the superintendent in charge for the purpose of learning.) From Friday to Thursday - 23:00 (the day before a holiday/holidays included)
  • Operation of all matters not mentioned above is same as in general residence hall buildings.

Reward and Penalty Point Basis

  • Superintendent of residence hall can impose penalty points according to the penalty point basis when residents violate relevant regulations.
  • Penalty points can be imposed on residents when they violate residence hall regulations, or damages community life.
  • Reward and penalty points are aggregated and announced every month, and the reward and penalty points of each semester are listed in individual records, which can be used in determining the acceptance of the next move-in application.
  • If the penalty points amount to 20 during one semester, the points are notified to the resident’s guardian for instruction.
  • Residents with penalty points amount to 30 can be ordered to vacate the room, which is notified to the resident’s guardian.
  • Penalty points are aggregated for each semester, and penalty points can be offset by reward points. (Nevertheless, the chapel penalty points may not be offset.)
